What are the Benefits of CMMS Software?

Automating the maintenance function using a combination of desktop and mobile devices means that you do not need to deal with paperwork. All data is stored electronically in a secure central database which is regularly backed up. This means that you do not need to dig through a complex filing system to find the maintenance history of your assets or inventory, nor do you have to manually enter information from maintenance reports into a computer for future use.

Another key benefit of computerized maintenance management systems is their ability to schedule preventative maintenance work orders. Maintenance managers will be altered when an asset or inventory item is due to be serviced. There is no longer the threat of maintenance work “slipping through the cracks” which could lead to unwelcome equipment downtime, at a significant cost to the business.

You are also able to produce a wide variety of useful information on the condition of various assets and inventory which can be invaluable to stakeholder required to make decisions on a regular basis. You may also instantly access an overview of maintenance work conducted on each item as well as view scheduled maintenance work orders.

The safety of your employees should be a paramount concern to any business and a software suite can help you to manage safety regulations and standards for certain items. With the proper maintenance, workers can be sure that the equipment they use are in a safe working condition.

Top 3 Reasons Why Maintenance Management Software Can Be Used For Small Businesses

Pioneered by consumer demand and enabled through the agility of modern software, Maintenance Management Software is instrumental to companies wanting to enhance their maintenance, be it a large manufacturer or a small facility.

Traditionally, even though Maintenance Management software has been considered as a big business solution for organizing large and complex maintenance operations, the functions of modern Maintenance Management software extend beyond basic maintenance management to inventory and parts management, scheduled orders and many more.  Generally, it is expected to fit for only feature rich environment, but that doesn’t mean to exclude small business from employing a Maintenance Management Software effectively. But the fact is Maintenance Management Software needs differ for Small Businesses and let’s see how and where.

The common thread for the following points relate to the smaller pool or resources SME’s have at their disposal: less budget for licensing and tech support, less time or money for training, and a smaller or non-existent IT department to get the system up and running.

Technical Support: A typical Maintenance Management Software involves numerous technical complications such as network and database configuration, recovery processes, many hardware configuration, and managing different user licenses. Without IT professional support, either in-house or as an ongoing consultancy, this is the first and possibly the largest barrier to Maintenance Management Software being implemented by SME’s.

Time and Budget: The need for an intuitive user-interface ranks high no matter the size of the organization.   However, this is particularly true for SME’s who have fewer time and tech budget to train users on a complicated interface with extraneous features.

IT Maintenance: If SME’s don’t have a large IT team or budget, it’s inevitable that they will run into some technical difficulties when deploying the Maintenance Management Software.  In this case, it is imperative to choose a vendor that offers technical support and is readily available to troubleshoot issues during the implementation stage.  The vendor should also offer ongoing support after the implementation stage.

Facility Maintenance Software – Selecting One Could Be Challenging

A few years ago, the task of choosing and picking the right technology for your company’s needs was very simple.  It was a task that required barely any effort, money, or time on your part.  However, in today’s rapidly growing technology market, this may simply not be the case anymore.  There are many companies out there that will tell you what your business needs to compete in this competitive market.  They will provide you with a solution that supposedly meets business of all sizes, types, and industries.  However, each company is very unique, and there are so many varieties, manufacturers, models, brands, and programs to choose from.  When it comes to picking the right Facility Maintenance Software for your business, it may very well be a very daunting task, as there are numerous factors to consider.  The task can be especially daunting if you are unfamiliar with the software and don’t know how to go about it.  However, regarding technology and in particular, Facility Maintenance Software, there are really two main facts that you must understand.

The main two facts are:

1.  You need to have an extensive understanding on the concept of Facility Maintenance Management.  Once you have a thorough understanding of facility maintenance management, you need to do your research and check out the brands and software in the marketplace.  Some software is better than others in terms of your particular needs.  You’ll need to carefully analyze your company and figure out what is important to you in relation to Facility Maintenance Management Software.

2.  Keep in mind that for each software, you need to consider the features, functions, support, scalability, implementation, performance, and availability for each product.  This is where NEXGEN Asset Management’s Facility Maintenance Software is superior, as it excels in all of the aforementioned areas.  However, a thorough review of other products is encouraged as well.

If you can, try and take up a free trial or free demo of the company’s product.  This free trial/demo of the product will allow you to play around with the software, and decide if it is a good fit for your organization.  The free trial will also provide access to other users in your department.  With some products you have the option of customizing your Facility Maintenance Software to your specifications.  This will make it seem like the software was designed specifically for your company.

EAM vs. CMMS: What Will Be Your Choice?

Look for headlines and you will find Enterprise asset management (EAM) software and computerized maintenance management systems (CMMS) as a realistic way to reduce expenses and increase revenues.  Many regard EAM as CMMS on steroids and do not paint the true picture of it. Let’s look at the basic definitions of both of these streams.

EAM software offers a more robust methodology for documenting equipment and their parts to include warranties, schematics, and computer aided design (CAD) drawings. Many of the benefits from enterprise asset management (EAM) software result from the ability to exchange data from other systems and subsystems in spite of these interfaces being not trivial in design or construction.

In general, CMMS deals strictly within the confines of the work order and preventive maintenance activity.  The Preventive Maintenance Software schedules the work orders based on triggers such as hours of operation or timed events like every quarter/ year. It ensures probability-based availability repair and spare parts. While it tracks and traces on serial number, it also offers warranty tracking. With CMMS Software, the availability of manpower resources with required skills and training is assured. It maintains an asset registry and repair parts database (i.e. nomenclature, hierarchy structure, where used, support descriptions, etc.). Lastly, it also prepares statistical analysis of equipment performance and reliability while providing a variety of reports from static and dynamic sources.

As an end note, designers of manufacturing systems are not that short-sighted to think that every company has Computer Maintenance Management System (CMMS) or EAM software. But they believe in a few basic questions to be answered. Where do the official inventories maintain? How will they keep inventories in sync? What will be the consequences if they go out of sync? Will they be able to put them back in sync? The only thing to remember is that any process which helps you improves on what you are doing now is a good thing and should definitely be considered.
